Job Description Summary
Reporting directly to the US MDS Marketing Director for VAD, the marketing assistant provides administrative and project coordination support to the US Region Marketing and Marketing Communications (MarCom) Team. This position is responsible for routine and non-routine activities such as, tradeshow logistics, event planning, coordinating marketing projects, marketing communications activities (i.e. project management) and general administrative support for the group. The marketing assistant is expected to work independently, taking routine direction and prioritizing requests from multiple associates.

Job Summary:
This position provides administrative support to the Director of Marketing for VAD. The role requires proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other applications for project management and data tracking. Candidates should have excellent written and verbal communication skills as well as organizational and time management skills.
Responsibilities:
• Coordinates approval and payments of invoices for expenses charged to US Marketing and Commercial organization department budgets. Resolves billing and payment issues. Enter purchase orders in system. Distribute purchase orders. Prepares and processes payables by coding and recording. Reconcile expenses with A/P and Finance reports. Updates and distributes budget reports monthly.
• Coordinates internal printing and mail fulfillment for promotional and other communications to customers, field sales and internal personnel.
- Assist Marketers with large sample requests, including tracking. Coordinate internal meetings with more than eight attendees, assist with schedules
- Adding vendors to BD vendor management system. Act as a point of contact with vendors to ensure information is entered in correct and timely manner.
- Manage multiple projects simultaneously; prioritize and manage deadlines.
• Coordinate logistics and facilitate meetings, conference calls, webinars, etc., as directed by Director of Marketing for VAD and Marketing Associate Directors.
• Update databases, mailing lists, calendars, spreadsheets, presentations, and documents as needed.
• Maintain files and records using established processes and systems.
• Participate in cross-functional teams on various initiatives as assigned.
Qualifications:
• High School Diploma or equivalent required. Bachelor's degree preferred.
• Previous experience in healthcare or medical device industry preferred.
• Experience working with sales and/or marketing professionals preferred.
• Excellent written and verbal communication skills.
• Strong organization, planning, analytical, problem solving and computer skills.
• Ability to multi-task and work independently with little supervision.
• Ability to handle confidential information.
• Proficient in Microsoft Office Suite (Word, Excel, PowerPoint).
