Also will provide support to the Warehouse and Logistics Supervisor on Imports Operations and assures compliance with the current Corporate Standard Operating procedure. Assures that Bard's import transactions are in compliance with U.S. Customs Law and Other Government Agencies (OGA). Promotes and supports the BD values.

The Import/Export Specialist will prepare all export documents (Shipper's Export, Air waybills, Bills of adding Ocean Shipment, invoices) in compliance with the Bureau of National Affairs (Export Shipping Manual) of Dun and Bradstreet shipping Export encyclopedia, NAFTA, Commercial Invoices, Shipper's Export Declaration or any others as required by law. Assures that Bard's import transactions are in compliance with U.S. Customs Law and Other Government Agencies (OGA). Promotes and supports the BD values.

Essential Job Functions:

Imports responsibilities:

  • Supports the entry of goods by the Customs House Broker (CHB)
  • Arrange material clearance and released by the regulatory government agencies, by providing written evidence to the Receiving area
  • Coordinates company's entry documents are complete and accurate by verifying and requesting any necessary adjustment to Customs Forms CF3461 and CF7501, generated by the Customs House Broker.
  • Track and logs the Liquidation of entries, by requesting the Liquidation Report to the Customs House Broker
  • Perform postings and necessary information on the Import Log
  • Maintains the recordkeeping according to federal regulations
  • Supports Corporate on any information, documents, or samples required
  • Coordinates materials on a "FDA Hold" status with Receiving Department, for their receiving, segregation to the designated area, and keeping the material fully intact until written released is provided
  • Assists the Warehouse and Logistics Supervisor to provide the Customs House Broker any required document by the Federal Agencies (Commercial Invoice, BOL, AWB, TASCA, AGR's Certificates, or End Use Letters)
  • In coordination with Warehouse and Logistics Supervisor follows corporate guidance on Rulings, Country of Origin rules and any other special instruction
  • Ensures immediate merchandise delivery with the Customs House Broker and Carriers

Export responsibilities:

  • Maintains customers duly informed of all shipping details and handles the complete tracing of their shipment
  • Analyzes freight forwards quote offers and determine, suggest if requested, the most economical routing and adequate transportation services to process a shipment based on customer's needs and/or special request
  • Maintains an up-dated "Profile Sheet" for each Customer accurately containing the customer's shipping and order processing specifications
  • Coordinates shipment pick-ups
  • Prepares all documentation related to return products (Return Good Authorization)
  • Acts as interface and liaison on issues related to customer's shipments. Handles miscellaneous shipments, samples, returned goods to vendors, etc. upon request. (in coordination with Admin. Assistants)
  • Maintains files organized per customer by invoice date
  • Submits to immediate supervisor major problems and findings, and assists to achieve results through effective communication and recommendations
  • Coordinates deliveries to OEM Customers. This Include the On-Time Inventory available in coordination with the products Planners
  • Assures the preparation and accuracy of a Back order report for all OEM (including Japan) customers
  • Manages the coordination and installation of any automated shipping software (Federal Express UPS, LYNDEN, TOTE, etc.)
  • Manages coordination updates or installing updates, if required of the Federal Express Software and any other automated shipping software
  • Generates a daily sales report
  • Performs data entry of all required Purchase Order and performs any requested adjustments to orders
  • Generates all Lot Traceability Reports requested for recall, RGA or any other purpose (if required)
  • Updates SOPM 0126 to current practices (if required)
  • Ensures a timely verification of customer complaints by requesting cycle counts, verifying price adjustment, etc. and coordinates with the Warehouse and Logistics Supervisor the proper course of action
  • Maintains Warehouse Supervisor up to date on current practice or laws related to international or domestic shipments (proper pallets, documentation etc.)
  • Coordinates with customers and Warehouse Supervisor the priorities to be shipped
  • Uploads units forecast for international customers
  • Updates shipped units reports for accounting purposes
  • Prints pick list daily
  • Reconciles sales and cost of sales against general ledger
  • Follows Company Safety rules, cGMP's, OSHA, and ISO 9000
  • Assure trained before performing any task
  • Uses the required clothes, personal and security protective equipment according to operations the requirements of its operation
  • Align with the cGMP's, Quality Standards, and established policies and/or procedures
  • Performs other duties designed by Supervisor

Other responsibilities in absence of the Warehouse and Logistics Supervisor:

  • Supports the classification of goods, in combination with the Customs Broker
  • Supports Purchasing, Suppliers and Freight Forwarders, establishing the routing for the pickup and delivery of Bard's goods if necessary
  • Coordinate the United States Returned Goods Process, also known as RGAs
  • Reports to the Warehouse and Logistics Supervisor deviations to the Corporate Standard Operating Procedures and to the federal regulations
  • Supports the Corporate internal and external audits
  • Responsible to advise the Warehouse and Logistics Supervisor of any Customs or FDA request or visit

Qualifications

Education and/or Experience:

  • Associate Degree in Business Administration or Science or related field
  • Minimum of 6-month experience in an FDA regulated environment like the Medical Device Industry
  • Minimum of 6 months experience with imports/exports or equivalent combination of Education & Experience (i.e.Bachelors Degree + Internship)

Skills and Knowledge:

  • Computer Literacy (Internet, Outlook, Word, Excel, and Power Point)
  • Customer service oriented
  • Strong auditing skills
  • Fully Bilingual in Spanish and English
  • Basic Knowledge in FDA Regulations
  • Recordkeeping
