The Administrative Assistant will fully support the Banquet Operations team with general administrative responsibilities to include calendar maintenance, facilitating amenity requests for Guests, as well as preparing reports, presentations, expense reports, managing the planning, coordination and execution of business travel.

Additionally, the Administrative Assistant will assist with Catering general administrative duties to include, but not limited to maintaining up-to-date banquet event orders, planning in-house bookings, event billing, purchasing and managing supply inventories and other duties.
This is a full-time position reporting to the Banquet & Events Services Director and will be based in an office at our stunning Aulani Resort on Oahu, Hawaii.
What you will do:
- Provide any requested administrative support for the Banquet Operations Team
- Coordinate completion of tasks and projects requested
- Accurately schedule meeting times, locations, invitees and any A/V requirements via Outlook
- Provide professional telephone etiquette for Managers and for other administrative professionals when they are away from their desks
- Assisting in planning and execution of cast recognition programs
- Prepare presentation material for department staff as requested
- Manage the planning, coordination and execution of business travel for Managers according to Company guidelines
- Ensure accuracy in completing expense reports for Banquet Operations team
- Monitor department fiscal status and ensure all reports are accurate
- Process payment requests, invoices, check requests, purchase orders and service entries in a timely manner
- Facilitate amenity requests for guests staying at Aulani
- Provide backup support to Sales/Catering Services support teams
- Other duties as assigned
Here’s what you will need to be successful in the job:
- Minimum 3 years of related experience
- Strong Computer Skills (Microsoft Outlook, Excel, Word and PowerPoint; Internet; SharePoint)
- Proficient communication skills, specifically with email correspondence and telephone etiquette
- Ability to recognize challenges and submit creative solutions
- Proven time management skills (meets deadlines, prioritizes tasks)
- Proven social skills/cultural sensitivity/diversity
- Service oriented
Preferred Qualifications:
- Experience supporting a department leader / manager preferred
- Knowledge and understanding of Catering/Banquet or Food & Beverage Operations
- Experience in Catering-related computer programs, purchasing programs and expense reporting programs

The hiring range for this position in Hawaii is $22.25 to $31.95 per hour. The base pay actually offered may vary depending on the candidate’s geographic region, job-related knowledge, skills, and experience, among other factors.
