Job Description
The Order Guide Specialist assigns order Guide maintenance for specific distribution centers and designatedcustomer menus in the menu software program, develop special reports and printing for
menu box customers.

Are assigned by the Menu Building Team to include but not limited to: Order
Guide maintenance for specific distribution centers and designated customer
menus in the menu software program, develop special reports and printing for
menu box customers.
1. Create Order Guides
a. Ties ingredients to HPSI contracted and deviated items for the
assigned food distributors and menus. This must be done for each
distribution center from which HPSI customers on the menu service

purchase food. The usual number of distribution centers to be
worked with in the menu office is 40. This sets the food
formulary/order guide for HPSI menu customers use in ordering their
food.
b. Changes the products for all distribution centers with each new
seasonal or customer menu iteration.
c. Checks on a daily basis each of the formularies/order guides in
assigned distribution center list to be sure that products have not
been discontinued by the food service distribution center. If
discontinued, searches in each of the food distributor?s inventory for
an appropriate product substitute for the customers to purchase.
d. Checks pricing on food items in each food distribution center for
accuracy.
2. Sets up formularies in Online Ordering Platforms
a. Checks these platforms and makes sure all products are available for
purchase by the customers on a daily basis
b. Reports to VP of Menu Services and Corp. RD price discrepancies
regarding HPSI contracted/deviated food items. Also reports any
HPSI contracted/deviated items that may become proprietary
ineligible for HPSI customers to purchase.
c. Works directly with the food service distributor?s representatives to
allow HPSI customers to procure these products as needed.
3. Readies all food order guides needed for publication for paper menu box
printing either quarterly or bi?annually and if needed assists with printing.
4. Assists menu customers as needed
5. Additional duties as assigned.
Qualifications
Must have background in food service operations and/or food service distribution
with basic computer skills and be able to easily learn new computer software
programs. Must be accurate in mathematical skills and complete work in a
timely. Bachelor?s degree preferred.
