Job Description

The Executive Coordinator, Sports + Entertainment West Region, performs a wide variety of comprehensive administrative duties and some project management duties. This position requires someone who can work independently, is a self-starter and is able to respond in a matrixed, fast paced environment. The ideal individual must have the ability to multi-task while maintaining full attention to detail and priorities.
? This role is majority work from home, but some travel and some nights and weekends required.
? As this position supports an event-based business, some flexibility in scheduling is necessary.
? Phoenix, AZ Metro area home base preferred.
This position requires the ability to resolve complex and confidential administrative issues in addition to completing routine administrative functions effectively and timely. Excellent time management skills together with advanced Microsoft Office skills to include creation of Power Point decks, planning and scheduling team meetings and events are required. Additionally, this role may be asked to support limited project management assignments from time to time as needed. Superior customer service experience is needed to manage client requests and issues as you assist leadership in always maintaining a positive image to all Aramark stakeholders.

Job Responsibilities

? Proactively manage the calendar to accommodate shifting priorities and independently schedule appointments including conference calls and video conferences.
? Oversees special projects as assigned and manages project responsibilities from start to completion.
? Arrange travel plans and compile itineraries and documents for travel-related meetings.
? Support regional team as needed with expense management and travel coordination.
? Compose and prepare communications, reports, and confidential correspondence for Regional Vice President and regional team as needed.
? Manage and help execute team meetings such as monthly, quarterly, yearly, and other important events for the department.
? Travel occasionally (as needed) to support regional meetings and/or special events. (10% travel expected)
? Conduct a variety of miscellaneous administrative tasks as assigned which are reasonably within the scope of the activities enumerated above.
Knowledge and Skills
? Strong organizational skills and possess the ability to prioritize workload and work under minimal supervision, perform multiple tasks simultaneously and communicate with all levels of management.
? Demonstrate the ability to act in a professional yet warm manner and maintain competency in a fast paced, demanding work environment.
? Must have superior communication and organizational skills, able to work independently and with other members of the regional team.
? Must have initiative and decision-making skills with the ability to make judgment calls to determine the correct action or approach in non-routine assignments and projects.
? Highly refined ability to use discretion regarding confidential information.
? Professional in all dealings with customers, vendors, and Aramark employees.

Qualifications

? High School Diploma (required), bachelor's degree a plus.
? Min 2 years administrative experience, with experience supporting an executive level leader preferred.
? Shows initiative, follows established procedures.
? Excellent verbal and written communication & listening skills.
? Demonstrates self-development and integrity.
? Read and understand information and ideas presented in writing.
? Using logic and reasoning to identify the strengths and weaknesses of alternative solutions, conclusions, or approaches to problems.
? Strong digital literacy skills required i.e. Microsoft office, Excel, Word, PowerPoint
? Experience preparing executive level presentations preferred.
? Some project management experience preferred.
? Graphic design/marketing/creative experience preferred.
? Strong problem solving, analytical, and organizational skills.
