In this role, you'll be responsible for coordinating internal meetings and events for Apple employees at Santa Clara Valley campuses, ranging from small and simple to large and complex. Description

- Plan, handle, and support internal meetings and events for campus residents, ranging from small meetings to campus-wide celebrations and hybrid productions streamed to thousands of employees. Lead the entire event lifecycle, including: - Coordinating end-to-end logistics, event set-ups, and onsite oversight - Managing space reservations and facility work orders - Conducting customer-planning calls - Collaborating with internal customers, cross-functional partners, and third-party vendors - Serve as the primary point of contact for events, coordinating early and often with various teams such as Environmental Health & Safety, Security, Maintenance Ops, Interior Services, People, Caffè /Catering, City Permit Support & Relations, etc. - Establish clear expectations and timelines for all customers and cross-functional partners, ensuring seamless implementation of parallel and independent work streams. It's critical to provide consistent, accurate, efficient communication between all parties. - Provide high-touch customer service while maintaining a helpful, supportive demeanor to develop strong, trusting relationships with all parties involved. - Develop and implement organized, consistent processes, documentation and procedures to elevate services and ensure success. - Proactively identify and address potential risks or issues, solve logistical challenges, and create backup plans. - Create and manage budgets, working closely with Finance and Procurement partners to ensure compliant processing of vendor agreements, purchase orders, and invoices. - Navigate through ambiguity and identify objectives to achieve cost-effective and operationally efficient outcomes. - Skillfully navigate challenging conversations related to customer requests for venues and/or resources which may not be available within the requested timeframe. Be resourceful and provide alternate solutions, when available. - Demonstrate flexibility in work schedule, including early mornings, evenings, or weekends as needed. - Respond to incoming communications (emails, phone calls, and texts) in a timely and efficient manner. - Contribute to the team's overall success with a willingness to wear multiple hats, perform other tasks as assigned and support various roles within the event management process. - Uphold Apple's high creative standards and core values in all events, collaborating with relevant teams to ensure exceptional attention to detail and design excellence.
  • 5 - 7 years of demonstrated experience in events and project management within a fast-paced, customer-centric environment
  • Vendor management and budgeting experience
  • Expert event management knowledge with comfortability and experience taking the lead throughout all stages of event lifecycles, including creative planning, vendor sourcing, site and accessibility planning, safety and emergency planning, guest journeys, staffing deployment, and budgeting
  • Drive planning meetings with customers to identify the scope of meetings/events, objectives, and seek stakeholder alignment on potential event plans.
  • Comfortable coordinating multiple concurrent programs as well as programs with short planning windows.
  • Bachelor's degree

Preferred Qualifications

  • Ability to work under pressure in a fast-paced environment, meet tight deadlines, multitask, and reprioritize projects while keeping stakeholders informed
  • Proven track record to dive into any area of the department, understand business needs, identify gaps, recommend solutions, and craft execution plans
  • Proficiency in leading onsite events; experience in video production or broadcast environments
  • Exceptional influencing and communication skills (verbal, written, presentation, and listening) with the ability to connect with partners across all levels, synthesize information, and frame issues effectively
  • Adept at preparing reports and decks for presentation to management, cross-functional partners, creatives, and customers to facilitate decision-making among evolving priorities. Able to ask insightful questions and challenge the status quo
  • Proficient in Apple email and comfortable using it as a primary communication tool.

Pay & Benefits

    At Apple, base pay is one part of our total compensation package and is determined within a range. This provides the opportunity to progress as you grow and develop within a role. The base pay range for this role is between $115,100 and $173,300, and your base pay will depend on your skills, qualifications, experience, and location.

    Apple employees also have the opportunity to become an Apple shareholder through participation in Apple's discretionary employee stock programs. Apple employees are eligible for discretionary restricted stock unit awards, and can purchase Apple stock at a discount if voluntarily participating in Apple's Employee Stock Purchase Plan.
