Summary / Role Purpose
The Sales & Order Operations Specialist is an integral member of the team, responsible for managing the end-to-end process for renewal and new sales, partnering with account managers to support sales cycle and business objectives. Also acts as a primary point of contact for internal and external customers and supports continuous improvement for Deal Operations team.

Key Duties and Responsibilities
- Sales Cycle and Related Workflow Responsibilities
- Engage with sales reps to prepare, review, process and expedite sales orders and related workflow and services.
- Research and understand account data, order history, discounting and/or special pricing situations to help with quote proposal generation.
- Preparation of contracts following internal policies and legal procedures.
- Act as the primary contact for customers on order-related questions such as order status, account issues, license configuration etc.
- Involve stakeholders (Account Managers, Legal, Finance, Business Operations etc.) to ensure timely submission and processing of revenue.
- Perform post-order procedures, such as revenue reconciliation and order split, etc.
- Meet regularly with account managers to review opportunities, take proactive actions for smooth closing of deals.
- Coordinate with technical staff to resolve Customer Portal access problems & license installation issues
- Instruct and support Channel Partners on order process.
- Train team members and sales team on sales policies and processes.
- Analyze all outgoing and incoming paperwork such as purchase orders and license contracts for compliance and accuracy, determine and administer revenue and support splits, ensure all internal approvals are secured. Verifies order entry for completeness.
- Account Data Administration and reporting
- Registration and update of account and contact data.
- Administers renewal opportunities within the CRM, including revenue reconciliation activities for accurate forecast and planning.
- Ensure data accuracy in internal reporting and tracking sheets.
- Continuous Improvement
- Support opportunities for improvement in process and automation and propose solutions for more efficiency.
- Plan and execute mid-term projects, involving several stakeholders.
- Work with the global team on implementing new processes and systems, through giving feedback on local exceptions and supporting on testing.
Minimum Education/Certification Requirements and Experience
- Associate degree (two-year program) in business or accounting or related field with a minimum of 30 months of experience in sales operations, sales support, finance or legal support role, customer service environment or similar position in a corporate setting.
- Strong teamwork and customer service oriented.
- Flexibility to support extended hours required at end of quarter.
- Highly motivated and results driven; cope effectively with complexity and change.
- Excellent verbal and written communication and interpersonal skills.
- Ability to build strong relationships.
- Ability to handle confidential information.
- Working knowledge of CRM systems (such as Salesforce) and knowledge of Quote to Cash scenarios including quote preparation.
- Must be organized and detail oriented.
- Ability to multitask and prioritize in a fast paced, deadline-driven environment.
- Working knowledge of presentation and spreadsheet software, such as Microsoft PowerPoint and Excel.
- Advanced English language proficiency (able to read, write and speak in business environment).
