Executive Assistant to Global Brand & Communications Leaders

We are looking for an Executive Assistant that shares our passion and energy to contribute to our company mission by supporting the Vice President of Employee and Executive Communications (based in Bucharest, Romania) and the Vice President for Brand (based in Paris, France); a third leader to support may be added.

This full-time hybrid role requires a highly organized, detail-oriented individual who can efficiently manage multiple tasks, ensuring our executives are supported in their day-to-day activities.

What will you do:

  • Provide daily support to global Vice Presidents in the Global Brand & Communications Ladership team, including managing calendars, organizing meetings, procurement admin, and preparing necessary documents and arrangements;
  • Support communications and marketing projects, prepare presentations, reports and other materials and assets;
  • Coordinate ad-hoc projects and initiatives for the leaders. This can include workshop preparations / minutes, budgeting topics, and team meetings among others;
  • Build strong relationship with the direct team of leaders, and support, as and when needed, their projects and initiatives;
  • Organize business trips and meetings, including booking tickets, accommodations, expense reports and related logistics for leaders;
  • Collaborate with a varity of internal and external stakeholders;
  • Collaborates with other key administration team members, developing efficient and effective administrative support processes and procedures, consistent with organizational structure and policies.

What skills and capabilities will make you successful?
  • Fluent in English, with excellent verbal and written communication skills; Any other language would be a plus, especially French;
  • Solid knowledge and experience in Microsoft Office (Excel, Word and Power Point) and other digital applications;
  • Minimum of 1-2 years of experience as an administrative/executive assistant or similar role providing support to senior-level executives;
  • Good understanding of marketing principles, with a keen eye for messaging and communication;
  • Strong organizational skills, attention to detail and timely follow-through;
  • Strong communication and presentation skills;
  • Positive and hands on attitude;
  • Ability to work efficiently in an international environment.
