Coordinator, HR Admin & Support

This role will be responsible for ensuring that the provision for support services is delivered promptly. The person in this role will strive to provide service excellence through proactive operational support. Compliance to Health and Safety legislation as well as internal process.

MAIN RESPONSIBILITIES:

  • Manage the buildings and grounds, and the day-to-day maintenance the building systems, including HVAC systems, Lighting, Life Safety Systems, plumbing, repairs to workstations/carpet/walls, Landscaping, janitorial, etc.
  • Receive, review, and approve quotes for repairs and maintenance, as well as approval of invoices for those services.
  • Assist managing the on-site food services, coffee service and catering services for events.

  • Manage all employee requests and inquiries related to their work environment.
  • Handle the remote employees shipping and schedules meetings.
  • Supports the brand business trips
  • Generate weekly status, project, and budget reports.
  • Decision Maker for how space is used in all locations.
  • Prepares specifications for furniture for each project and coordinates the purchase, delivery, and installation of product with appropriate staff
  • Establishes work plan for each phase of project, and coordinates assignment for project vendors and participating staff.
  • Assign and allocate space related projects at the Mexico Office to direct reports, and oversee the progress.
  • Coordinates health, life and disability insurance enrollments and communicates with service providers concerning routine administration of programs.
  • Conducting benefit enrollment process
  • Keeps employee records up to date by processing employee status changes in timely fashion.
  • Handles and control the vendor contracts process and renewal.
  • Prepares new-hire paperwork.
  • Maintains the employee handbook with updated resolutions and other pertinent information, as needed.
  • Assist with day-to-day operations of the HR functions and duties.
  • Create, implement, and evaluate all human resource department policies, procedures, and structures.
  • Ensure all files, paperwork hiring, test, requirements from employees are update.
  • Prepare checklist of requirement internal audit.
  • Track facilities and department budgets.
  • Serving as a point of contact with benefit vendors/administrators
  • Lead and coordinate employee activities.
  • Overseeing the completion of compensation and benefit documentation

QUALIFICATIONS AND EDUCATION
  • Language: English fluent
  • Bachelor degree (B. A.) from four-year college or university in Administration, HR or related field
  • 2+ years related experience or equivalent combination of education and experience.
  • Good written and verbal communication skills.
  • Excellent organizational skills.
  • To maintain high standards of work and professionalism at all times
  • Methodical, calm approach to work and the ability to prioritise the workload
  • Excellent written and verbal communications skills
  • Ability to be both proactive and reactive and judge as required.
  • Close attention to detail to ensure standards of excellence are maintained.
  • To be knowledgeable about the office location and surrounding area, to provide a proactive and thorough service.
