Job Description
The Opportunity:
We have an excellent and exciting opportunity for a traveling/remote Event Coordinator for our Day Out With Thomas touring program. This position will join a team with three other Event Coordinators in managing 25+ events each touring year across the United States and Canada at railroad museums. The Event Planner will be expected to travel to up to 15 events each year, varying from 4 – 16 days at a time.

The Event Coordinator is the main point of contact for assigned host railroads overseeing site planning, marketing, retail operation and activities planning for each event managed. The position will be responsible for reviewing and providing input on all marketing, site layout, entertainment and final operating plans that are submitted by event hosts and ensuring these are carried out on-site. The Event Coordinator is responsible for maximizing all marketing opportunities, tracking ticket sales and creating and executing plans to upgrade the event experience and consumer engagement.
The Event Coordinator will travel to each event and assist with set up, execution of and breakdown of each event assigned including setting up bounce houses, inflatables, banners, gift shop with pallets of merchandise and retail units and a multitude of play areas.
Following events, the Event Coordinator will review events and submit wrap reports with recommendations to railroads on improvements year over year.
What Your Impact Will Be:
Event Coordination:
- Main point of contact for partner railroads
- Clearly communicates policy and process changes to railroad partners
- Discuss previous year’s event report and focus on solutions for past areas of improvement
- Tracks and obtains event documents/templates by due date from the railroad partners; Reviews and provides recommendations and branding opportunities for presented plans.
- Serves as liaison between internal partners and railroad partners to increase event experience and highlight other lines of business
- Review set up of an event once on site and assists as needed on final preparations
- Set up operations assets from event crates and any inflatables, and banners
- Assist railroad with any retail set up needed including setting up retail racks, tables, opening up boxes of product and merchandising product, etc.
- Ensure Thomas replica is always in pristine condition and on brand
- Observe event and identify ways to improve
- Assist with wrap following events including ensuring all assets are packed up and ready to go to the next location
- Assist with wrap of retail space, packaging labeling palletizing and shrink wrapping any merchandise going back to the warehouse
- Send final reports, numbers and return information back to the team and warehouse
- Create an event report following each event – due to the partner railroad no later than 60 days after event ends and send final invoices
Logistics:
- Cleans and repair touring crates, as needed
- Keep track of touring assets including event crates, merchandise deliveries and replica engines
- Creates ideas and builds for new event assets; compiles estimates and prepares proposal for implementation
Marketing:
- Obtain daily sales documentation for ticket sales and upcoming weekend capacity
- Communicates national marketing initiatives to railroads and drives reactive marketing programs, as needed
- Ensures timely delivery of marketing plan; reviews marketing plan and provides recommendations for additional efforts; Approves all marketing and advertising for partner railroads
- Continually reviews online marketing efforts to ensure quality control
- Runs post-event reports including zip code analysis, promo code report and evaluates marketing results.
- Champions special marketing efforts with social media and influencers etc.; communicates process to team and railroads
- Assist in brainstorming activation of theme each season and how to deliver on site
Qualifications
What We’re Looking For:
- 1-2 years experience
- Must be able to travel approximately 70% of time
- Must be able to lift approx. 30lbs
- Experience in Live Events/Themed Attractions/Ticketed Touring Shows preferred
- Strong presentation and communication skills – written and oral
- Must be self-motivated and proactive
- Must be a team player with strong interpersonal skills and the ability to build relationships with internal and external partners, lead and manage teams.
- Must be highly organized, detail oriented and be able to work independently
- Strong project management skills
- Must be Proficient in Microsoft Word, Excel, Powerpoint and Outlook.
- Must be professional at all times and positively represent Mattel when travelling and with partners
Education
- Bachelor’s Degree or equivalent preferred
