Document & Business Solutions (DBS) is the company's primary mail and print production provider for the firm, globally, operating across APAC, EMEA, LATAM, and NAMR in more than 50 cities. DBS is responsible for providing vital products and services, including but not limited to, document design & creation, scanning & archiving fulfillment, hard-copy document digitization, messenger & courier services, mail/package distribution and more. Additionally, DBS manages and maintains the firmwide "Smart" suite of products, including, SmartPrint (floor copiers/printers), SmartMail (mail digitization), and SmartDox (DBS's online service platform).

As a Trade and Working Capital Operations Specialist in Document & Business Solutions, you will be responsible for prepping the commercial shipping documents and performing the post release process for both Standby and Commercial products. This position will include the pre-registration of documents, scanning the documents, pulling and filing of folders. All functions are held to the Global Trade's standard policies and procedures.

Job Responsibilities:

  • Receive inbound courier mail and pre-register documents in TPS back office system.
  • Review system pre-registration and verify breakdown of documents received against transmittal letter, draft or other information provided.
  • Prepare Image Prep sheet listing appropriate document and count for scanning.
  • Scan documents into TPS.
  • Access Post Release queue's and review mailing instructions of documents and other requested tasks.
  • Print TPS output, dispatch documents via mail or courier, and record tracking number and close item in the Post Release queue.
  • Perform other requested tasks provided in the Post release instructions.
  • Pulling and filing of Letter of Credit folders daily.
  • Pro-actively work with all regions as necessary.
  • Perform monthly commercial file audit.
  • Provide responses to internal customer inquiries via shared mailbox.
  • Monitor queues to expedite the distribution of assignments.
  • Any other duties or responsibilities assigned.

Required qualifications, capabilities, and skills:

  • 2+ years previous banking experience in Letter of Credit processing
  • Knowledge of PC applications - TPS, Courier Systems, MS Outlook, MS Office and MS Access
  • Knowledge of UCP and/or UCC
  • Strong communication skills both written and oral.
  • Ability to work effectively under pressure controlled by deadlines.
  • Ability to organize and change priorities frequently, multitask, work independently or team environment
  • Ability to make decisions and utilize all available resources and tools to minimize corporate and client risk.
  • Work Schedule: Monday-Friday/Flexible 8 hours - 9 AM through 6PM
